Privacy notice & POPIA

1. Who we are
The Pipeline Fixer is a sales operations consultancy operated by Chanel Greeff, based in South Africa. For the purposes of the Protection of Personal Information Act 4 of 2013 ("POPIA"), The Pipeline Fixer is the responsible party for the personal information collected through this website.
Contact: help@thepipelinefixer.com
Registered address: 49 Bolo Street, Pretoria, 0118, South Africa
2. Information we collect
When you use this site, we may collect:
- Contact details you give us directly: your name, business name, email address, and any message you send through the contact form or WhatsApp.
- Diagnostic quiz responses: your answers to the pipeline diagnostic questions, along with the name, business and email you provide to receive your result.
- Purchase information, if you buy one of our downloadable products: your order is placed on Payhip's checkout, not on this site, and Payhip passes us your name, email address and order details as the seller. We never receive your card or payment details.
- Technical and usage information collected automatically: your IP address, browser and device type, and how you interact with this site, via cookies and similar technology (see "Cookies & tracking" below).
We don't intentionally collect any special personal information (such as health, religious belief, or biometric data) through this site.
3. How we use your information
We use the information we collect to:
- Respond to enquiries sent through the contact form, email, or WhatsApp
- Provide the result of the pipeline diagnostic quiz
- Deliver a product you've bought, and handle anything that follows from that order
- Keep a record of our communication with you, for our own business purposes
- With your consent, follow up about our services if you've expressed interest
We don't sell your information, and we don't use it for anything beyond what's described here.
4. Our legal basis for processing
We process your personal information because you've given consent by submitting a form on this site, because it's necessary to take steps at your request before entering into a service agreement (for example, responding to a project enquiry), or because we have a legitimate interest in keeping accurate records of enquiries and client communication, an interest we've weighed against your right to privacy.
5. Who we share your information with
We don't sell your personal information and we don't share it with third parties for their own purposes. We do rely on a small number of service providers ("operators" under POPIA) who process information on our behalf, under contract and on our instructions:
- Netlify, Inc.: hosts this website and receives every form submission first. Netlify stores a copy of each submission (your name, email, message, and any diagnostic answers you send) in its form dashboard, on servers in the United States.
- Zapier, Inc.: passes each submission from Netlify on to our CRM. Your submission travels through Zapier's systems in the United States, and Zapier retains a short-term log of it.
- HubSpot, Inc.: our customer relationship management (CRM) system, and the record we work from. Your contact details, your message and your diagnostic result are stored here on servers in the European Union. HubSpot's tracking script also runs on this site (see "Cookies & tracking" below).
- Payhip Ltd: sells and delivers our downloadable products. If you click a "Buy" button you leave this site for Payhip's own checkout, where Payhip and its payment provider (PayPal) collect your details directly under their own privacy notices. Payments are taken in US dollars. We never see or handle your card or PayPal account details, and we only receive the order and buyer information Payhip passes back to us as the seller.
- Calendly LLC: if you book a call, the name, email and any details you enter are collected by Calendly on servers in the United States.
- WhatsApp (Meta Platforms): if you choose to message us on WhatsApp rather than use the form, that conversation is carried and stored by WhatsApp under Meta's own privacy terms.
Beyond these, we share your personal information only where the law requires it, or where it's necessary to establish or defend a legal claim.
6. Cross-border transfers
Some of the providers above are based outside South Africa, so your information will be transferred across borders. Specifically: form submissions are received and stored by Netlify and passed on by Zapier in the United States, before being stored in HubSpot in the European Union. Calendly bookings are processed in the United States, and Payhip's checkout and payment processing take place in the United Kingdom, the European Union and the United States.
Section 72 of POPIA permits these transfers where the recipient is bound by an agreement providing an adequate level of protection. Each of these providers is contractually committed, through its data processing terms, to protect your information to a standard consistent with POPIA's requirements. The European Union additionally maintains data protection law recognised as substantially similar to POPIA. If you'd rather your information didn't leave South Africa, email or WhatsApp us directly instead of using the forms on this site.
7. How long we keep it
We keep the personal information you provide for as long as necessary to respond to your enquiry, maintain a record of our business dealings, and meet any legal or accounting obligations, typically no longer than 5 years from your last contact with us, unless you ask us to delete it sooner or the law requires us to keep it longer.
Because your submission passes through more than one system, a copy also sits in Netlify's form dashboard and in Zapier's task history. If you ask us to delete your information, we delete it from all of them, not only from our CRM.
8. Cookies & tracking
This site uses HubSpot's tracking script, which sets cookies to help us understand how visitors use the site and which parts of it lead people to get in touch. These cookies may collect information such as your IP address, pages visited, and referring website. Netlify, as our host, also processes standard server request data such as your IP address in order to serve the site and filter spam. If you follow a link to Payhip or Calendly, those sites set their own cookies once you arrive, governed by their own privacy notices. Two further requests are made by your browser purely to display the page: web fonts are loaded from Google Fonts, and a public exchange-rate service (open.er-api.com) is queried to show the rand equivalent of our dollar prices. Neither sets a cookie or receives anything you've typed, only the technical information any web request carries, such as your IP address. You can control or delete cookies through your browser settings, though blocking them may affect how parts of this site, like the contact form, work.
9. Your rights under POPIA
You have the right to:
- Ask us to confirm what personal information we hold about you, and access it
- Ask us to correct or update information that's inaccurate or out of date
- Ask us to delete or destroy personal information we no longer have a legal basis to hold
- Object to us processing your information, including for direct marketing
- Withdraw consent you've previously given, at any time
- Lodge a complaint with the Information Regulator if you believe we've handled your information unlawfully
To exercise any of these rights, email help@thepipelinefixer.com.
10. Security
We take reasonable technical and organisational measures to protect your personal information against loss, unauthorised access and misuse. This site is served over an encrypted connection, form submissions are transmitted over HTTPS at every step, and we rely on the security safeguards of the providers listed in section 5 for the information they process on our behalf. Payment details are never collected or held by us. No method of transmission over the internet is completely secure, but we work to protect your information appropriately.
11. Children's information
This site isn't directed at children, and we don't knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, please contact us and we'll delete it.
12. Changes to this notice
We may update this notice from time to time, for example if our use of your information changes or the law requires it. The date at the top shows when it was last updated.
